TWELVE Hotels and Residences, LLC (“Twelve”) recognizes the importance of protecting the privacy of users of the Twelve site and securing the personal information provided by these users. We understand you may have questions about how this site collects information from site visitors and hotel guests, and the ways in which Twelve uses that information. We have created this privacy policy (the “Privacy Policy”) in order to familiarize you with Twelve’s commitment to protecting your privacy while, at the same time, continuing to better serve the needs of our guests.
The term “personally identifiable information” refers to any information that can be used to identify you as an individual. It can include, among other things, your name, street address, e-mail address, telephone number, facsimile number, age, gender and credit card information.
How Information is Collected
By Browsing Our Site
Twelve collects information about users by voluntary submission. No registration is required to enter or browse the Twelve site. This site does not collect personally identifiable information from your computer when you browse the site and request pages from our servers. Unless you voluntarily provide us with personal information (by creating a guest profile or making a reservation), we will not know your name, e-mail address or any other personally identifiable information.
We may use local session cookies to track session data and maintain aggregate web site data. Cookies are small text files that your browser stores on your hard drive to facilitate use of a web site. Local session cookies are temporary and are automatically deleted once you close your Internet browser. Cookies are used by most major commercial web sites and do not damage your computer, computer files or programs.

When Making a Reservation
If you decide that you would like to make a reservation at any of our hotels, you will be linked to our property management and reservation site. You can search for rates and availability at our hotels and resorts without providing any personally identifiable information.
When you make a reservation, you will be asked to provide specific personal information, including your name, address and contact information, as well as certain guarantee and deposit information to secure your reservation, such as your credit card number. The reservation system and the personal information provided when making a reservation through our site are secure; your credit card is protected with encryption technology and is transmitted over a private network.
Your credit card number will be verified using a checking sequence, but we will not authorize any payments at this point. Once your reservation is confirmed, Twelve will be sent the reservation information by the reservation system. Your reservation information is sent to the selected hotel exactly the same way as if you called the hotel directly or a travel agent made the reservation.
PLEASE NOTE: Cancellation Policies vary by type of reservation booked.
Standard Reservation – All standard reservations must be cancelled by 2pm on the day of arrival. Reservations not cancelled before this time will result in (1) nights room/tax being charged to the credit card guaranteeing the reservation.
Package Reservations – All package reservations must be cancelled 3 days prior to arrival. Package reservations cancelled after this time will be charged (1) nights room/tax at the standard rack rate. All package items will remain property of the hotel.
Advance Booking Reservations – All advance booking reservations are charged at the time of reservation. A refund may be obtained prior to last day the advance booking would have been available. No refunds will be given after that time.
Please make note of your cancellation number at the time of cancellation.

When Contacting Us Through Our Site
When you send us an e-mail from our site, we will treat it as confidential information and will only use it for the purpose that you have specified to us.
How Information is Used
Personal information is collected in order to provide customer service: we use this information to assist us in making your reservation, providing the services you request, and ensuring your satisfaction. We also use this information to contact you in relation to matters that arose from your stay with us or to address any other concerns or questions.
The personal information you provide to us when making a reservation is made available to the applicable hotel for the purpose of meeting your reservation request. If you cancel your reservation, the information is stored for recordkeeping purposes only and is not accessed again.
If you opt-in to receive updates and information by e-mail on your guest profile, we may also use this personal information to advise you of promotions, special offers or other information that may be of interest to you.
Occasionally, Twelve may send guest satisfaction surveys via e-mail to list subscribers or guests who have stayed at one of our hotel locations. These messages will only contain information specifically related to the Twelve hotels. Participation is completely voluntary and you will not be required to disclose any information. Survey information will be used to better understand the expectations of our guests and to improve our services.
Security and Storage of Information
TwelveHotels.com has implemented security measures that are designed to protect against the loss, misuse or alteration of the information under our control. To prevent unauthorized access, maintain data accuracy and ensure the correct use of information, we have put in place appropriate physical, electronic and managerial procedures to safeguard and secure the information we collect online. Personally identifiable information is only accessible by a limited number of employees who have specific access rights to systems storing such information.
When we ask for your credit card information when making a reservation, it is transferred over a Secured Socket Layer (SSL) line (if your browser is capable of SSL). We also use SSL on other select pages where you would enter personally identifiable information. This ensures that your information is encrypted as it travels over the Internet. This secure mode is enabled before any such information is transmitted from your computer. In addition, when accessing a secure server, the first characters of the site address will change from “http” to “https.” We only store certain guest information in a secure customer database stored on a dedicated, secure server that resides behind firewalls designed to block unauthorized access from outside the hotel.
Twelve cannot guarantee the security, accuracy or completeness of any such information or procedures. Although we take appropriate measures to safeguard against unauthorized disclosures of information, we cannot assure you that personally identifiable information that we collect will never be disclosed in a manner that is inconsistent with this Privacy Policy.
Disclosure of Information to Third Parties
Twelve may share your personal information with agents, contractors or third party service providers in limited circumstances to better serve the needs of our guests. All agents, contractors and third party service providers are contractually prohibited from using any information they gather for any purpose other than providing services to us.
If Twelve merges with or is acquired by another legal entity, the personal information collected by Twelve may be transferred to that other legal entity as an asset.
Aside from the purposes described above, we will not disclose, share, sell or divulge any personal information to third parties unless we have informed you, been authorized by you or are required to do so by law or to protect the safety of hotel guests, employees, the public or Twelve property.
E-Mail
It is our intention to only send e-mail communications that will be useful to you and that you want to receive. When you make a reservation and provide your e-mail address, we will send you a confirmation via e-mail and, if necessary, use other information you have provided to contact you in order to process the reservation. If you opt-in to receive information about special offers and promotions when you create your guest profile, you will occasionally receive notifications of special offers and promotions via e-mail. Each time you receive an e-mail you will be provided the choice to opt-out of future e-mails by following the instructions provided in the e-mail; you may also opt-out by updating your online guest profile.

We encourage you to check the privacy policies of other web sites before disclosing any personal information while on any other site. How To Update Your Guest Profile
If you wish to update or access your guest profile, you can do so by logging onto Marriott.com and following the instructions to update a guest profile, update a rewards profile, or contact the hotel directly to have guest information updated in our system. To protect your security and privacy, we will take reasonable measures to verify your identity before granting access or making corrections.
Children Under Age 18
Twelve Hotels does not intentionally solicit or collect personal information about children under the age of 18. If you are under 18 and would like to use our web site, please ask your parent or legal guardian for permission and assistance.
Legal Issues
This is a United States web site and is subject to United States law. Twelve will disclose personally identifiable information without your permission when required by law, or in good faith belief that such action is necessary to investigate or protect against harmful activities to Twelve guests, visitors, associates or property (including this site), or to others.
Updates & Effective Dates
From time to time, we may need to update this Privacy Policy. We will notify you about material changes in the way we treat personally identifiable information by placing a notice on our site. We encourage you to periodically review this policy so that you will know what information we collect, how we use it and to whom we disclose it. If circumstances arise that relate to disclosure of information about users that is not within the scope of this Privacy Policy, Twelve will use its judgment in deciding how to proceed.
